Job Description

Purpose

Executive Admin is responsible for providing support to the Executives, particularly the Operations Manager, in ensuring smooth and efficient day-to-day operations.They act as a critical communication link between Executives and internal/external stakeholders and are entrusted with handling sensitive information and coordinating various administrative tasks.

Work Overview

  • Acting as the administrative point of contact between the Executives and team members or internal/external clients.
  • Provide comprehensive administrative support, including managing calendars, scheduling meetings, and handling correspondence.
  • Coordinate and facilitate communication within the Company, ensuring timely dissemination of information.
  • Prepare reports, presentations, and other documents as requested by the Executives.
  • Assist in the organization and execution of team meetings, workshops, and events.
  • Handle travel arrangements and accommodation for the Executives and other team members as needed.
  • Manage and maintain confidential information with discretion.
  • Collaborate with other departments to ensure seamless operations.
  • Monitor and ensure the timely renewal of company licenses and permits.
  • Coordinate and manage all aspects of employee visa requirements, including applications, renewals, and cancellations.
  • Performs other duties within the scope of the role to support the organization's goals.


RequirementsPrerequisites

  • Proven experience as an Executive Administrative Assistant or similar role.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive information with confidentiality.
  • Proactive problem-solving skills and attention to details
