The position covers the coordination and day to day management of Tenant support and management of the temporary communities and its occupants. The scope of work follows on from the Onboarding process and completion of the Tenant Lease including participation in the handover stage of the premise to the Tenant, coordinating with the operational team. The position is to ensure the smooth administration of the asset by representing the owner and ensuring their interest are protected.


Property assets are categorised as commercial use such as residential building, residential cabin, community assets, municipality assets, retail, offices and storage, onboarding suite and show units. They will play a supporting role to the Asset Management Committee.


  • Responsible for all Property Coordination Operations of residential, commercial and community assets.
  • Liaise with the PM, FM, Leasing, Commercial On-Boarding and Transition team in keeping the buildings (and standalone facilities), operationally ready by undertaking due diligence, audit, and surveys to mitigate any potential delays.
  • Coordinate the helpdesk reporting system once establish Actively participating in the set up and development from a PM perspective with the internal Property Management and wider Asset Management team
  • Oversee the monthly, quarterly, and year-end summary reports.

KEY ACCOUNTABILITIES & ACTIVITIES



  1. Develop a customer relationship management protocol to successfully interact with tenants, including but not limited to Service delivery, mitigation, and service recovery measures.
  2. Participate in the delivery of the Citizens satisfaction protocol and system.
  3. Assisting Tenant with any issues or complaints creating a log and managing thorough to completions and rectification.
  4. Coordination and implementation of the Property Management Plan
  5. Carry out Property Inspections and develop Refreshment plans with the Facility Management Team
  6. Relationship management of third-party Non-FM service providers.
  7. Monitor Occupancy levels and report monthly to the Property Manager and On-Boarding Manager  
  8. Manage Operations functional areas; provide policy guidance and coordinate the activities of assigned departments, divisions, and services; foster cooperative working relationships with NEOM stakeholders and tenants.
  9. Ensure seamless transition between Tenant Attraction Team, Leasing Team On-Boarding Function that is purely Tenant focused successful coordination between support functions, to deliver a seamless service to the tenants
  10. Ensure that emergency management plans including Emergency Drills are communicated to Tenants and ensure that these are actively managed, create a record for all assets, log and audit that this is adhered too.
  11. With stakeholder representatives, conduct and record a coordinated system of frequent walkthroughs, audits, and survey to ensure that OXAGON assets are world class.
  12. Ensuring tenant compliance with lease terms and conditions.
  13. Ensuring all documents are completed, liaising with the relevant department as required, including OXAGON Technology Team for the ‘Tenant App’ development.
  14. Implement and monitor Move in / Move out procedures keeping an accurate record of occupancy rates. Coordinate data with the relevant PM, AM and Leasing team..
  15. Actively participate in the development and implementation of the IT strategy for Tenant Onboarding including the development of the ‘OXAGON Tenant App’, with the OXAGON Technology Team
  16. Attend coordination meetings with the project stakeholders and provide constructive feedback on, operational issues related to property management on boarding and Tenant matters.
  17. Communicate and ensure alignment between all internal and external stakeholders for PM operations.
  18. Any tasks requested by Property Management Director.

BACKGROUND, SKILLS & QUALIFICATIONS



  • Minimum 7 years functional experience with at least 2 years managerial experience in real estate management of mixed used master communities.
  • Familiarity with modern database and property management software.
  • MENA experience of large development and mixed-use operations experience preferred.
  • Excellent Administration and Reporting skills.
