The Function | Accountabilities
We are looking for a Tendring specialist with sales coordination experience who will adapt to the sales support
function set here in IGB. We cannot stress enough the importanceof this function for our sales wing, so we are
looking forward to a seasoned professional who canmake a lasting positive impact in the following areas:
➢ Portal Management: Regularly monitor and manage customer portals to ensure all tender-related activities
are up to date.
➢ Daily RFQ and PO Checks: Conduct daily checks on the portals to identify new RFQs and purchase orders (POs)
submitted by customers.
➢ Download RFQs and POs: Download RFQ documents and POs promptly upon receipt to ensure timely
processing and response.
➢ File Organization: Maintain a systematic filing system for RFQs and POs, ensuring easy access and retrieval
when needed.
➢ Stakeholder Communication: Share downloaded RFQs and POs with relevant stakeholders, such as
procurement teams, sales managers, and finance departments, to facilitate coordination and decision-making.
➢ Timely Notifications: Provide timely notifications to stakeholders regarding new RFQs, POs, or any updates
related to ongoing tenders.
➢ Document Management: Ensure all tender-related documents are accurately labelled, stored securely, and
adhere to organizational document management protocols.
➢ Data Integrity: Verify the accuracy and completeness of RFQ and PO details before sharing with stakeholders
or uploading tender extensions.
➢ Collaborative Efforts: Collaborate with internal teams to gather necessary information or documentation
required for tender submissions or extensions.
➢ Tender Extension Management: Manage the process of uploading tender extensions, ensuring compliance
with customer portal requirements and deadlines
The Profile | Skills and Attitude
We are looking for a Sales coordinator professional who is willing to develop his/her career in thefast-growing
Sales business and expect to have a minimum of the below:
➢ A Bachelor's degree, preferably in biotechnology
➢ Proven experience in sales administration or coordination. Experience with tendering portals such as ETIMAD,
NUPCO tender/marketplace etc. in the Saudi Arabia would be preferred.
➢ Strong communication and interpersonal skills to interact with clients, vendors, andinternal
stakeholders.
➢ Excellent proficiency in reading, writing, and speaking both English and Arabic is mandatory
➢ Excellent organizational and time management skills to manage multiple tasks and prioritieseffectively.
➢ Proficiency in using sales and marketing software, such as CRM systems, sales analyticstools, and MS
Office Suite.
➢ Ability to work independently and as part of a team to achieve common goals.
➢ A high level of attention to detail and accuracy in data entry and documentation.
➢ Flexibility and adaptability to work in a fast-paced, dynamic environment.
