JOB PURPOSE
Handle all Central team office documentation and maintain records of the standard forms, templates, etc. Coordinate with the unit team to manage resource allocation across the units. Collecting and consolidating the field visit reports and prepare monthly reports. Coordinate with the business system development team to develop the LN & CRM system to automate the daily functions.
KEY ACCOUNTABILITIES
Training and Development
- Train the unit co-ordinators in using the ERP system, and standardization of the booking process.
- Provide coaching on the project documentation, such as Sales Orders, Contracts, and Amendment records, and ensure they are available before the crew's mobilization.
- Prepare BQTP for the client training.
- Train the unit co-ordinators to maintain an effective field reporting system.
- QMS training & coaching on the subjects related to his responsibilities.
Field Service Know-How (Department Standard Documents and Library)
- Prepare and maintain the field visit forms and maintain the records of the visit outcome.
- Assist the initiative of standardizing the know-how documents, method statements, training presentations and further maintain, develop and update them.
- Own and maintain the field services library in the pipeline.
- Maintain the central and unit shared folders as per the QMS procedures.
Administration Tasks
- Prepare monthly reports (Progress, resources, field visits) for management reviews
- Keep records of current on site personnel assignments and update as required across the globe.
- Coordinate with Business systems development team for the development of LN & CRM for automated reports, and Logging of data collected from the field.
- Conduct survey and Record customer complaints, and process them for management review.
Planning and Control
- Report the monthly performance of all the units.
- Facilitate the Quality Review meeting.
- Maintain a record of field visits conducted by the unit team, consolidate, evaluate and prepare the master record for the monthly team meeting.
- Coordinate mobilization and demobilization of field service personnel to allocate resources for foreign and domestic projects during cross-unit resource allocation.
- Own the resource planning and Coordinate the resources allocation between the units.
- Develop and maintain the Field Reporting System.
- Resolve the errors in the field reporting system in coordination with the IT team.
- Maintain the Field Visit Report data base.
- Audit the field reporting process.
HSE
- Comply with relevant safety, quality, and environmental control procedures and instructions.
- Coordinate safety training course for Field Services personnel to ensure all staff is trained to comply with HSE policies and procedures.
- Participate in QHSE audits, incident reporting, and review QHSE performances as required.
SPAN OF COMMUNICATION
- Internal: Field Services Unit team, Projects, Stores, IT & Business systems teams
- External: Client, Contractors, Subcontractors
